Summary

The Client Relations Assistant (CRA) provides support to the Sponsorships and Outreach and Promotions Teams. The CRA is responsible for ensuring that sponsor/client contracts are executed with the highest level of service, as well as ensuring that communications, outreach, and promotions are coordinated with SCG teams and NCLR components. The CRA provides support and coordination to the Sponsorships and Sales Team as well as the Outreach and Promotions Team to plan and promote NCLR events/activities in a dynamic fast-paced work environment. The CRA is expected to provide support in the development of event promotional collateral pieces, as well as deliver the highest level of customer service with the best interests of the organization and event in mind, and to provide a positive experience for sponsors and partners.

The Client Relations Assistant should be an innovative thinker motivated by productivity, efficiency, and creativity. The CRA reports directly to the Sponsorships and Outreach and Promotions Team Leaders.

Description

Salary: Low to Mid 30's; Commensurate with experience

The National Council of La Raza (NCLR) – the largest national Hispanic civil rights and advocacy organization in the United States – works to improve opportunities for Hispanic Americans. Through its network of nearly 300 affiliated community-based organizations (CBOs), NCLR reaches millions of Hispanics each year in 41 states, Puerto Rico, and the District of Columbia.

NCLR’s Strategic Communications Group (SCG) is involved in a wide range of activities that support and enhance the work and mission of NCLR. SCG is responsible for developing and executing three national events annually: NCLR Capital Awards, NCLR ALMA Awards, and the NCLR Annual Conference. SCG also produces, coordinates, develops, promotes, and sells a variety of smaller meetings, events, and campaigns throughout the year and around the country. Moreover, SCG interacts with a variety of people daily, including professionals in the business of social change, Fortune 500 companies, government officials, civic leaders, and the general public. SCG receives and responds to inquiries about NCLR, the Hispanic market, the Hispanic community, and events hosted by sister organizations, while maintaining positive active relationships with its various constituencies, clients, and partners.

Responsibilities

Sponsorship Team

  • Serve as support staff to the Sponsorships Team
  • Assist with the coordination of regular updates and communications to clients/sponsors on behalf of the Sponsorships Team (email, fax, phone), regularly communicate NCLR and SCG activities with clients and partners, and deliver excellent customer service
  • Manage existing databases for clients/sponsors, and provide support to the Sponsorships Team with tasks including but not limited to data entry, mailings, appointments, faxes, etc.
  • Support Sponsorships Team in coordination and fulfillment of sponsor benefits as contracted including, but not limited to: registration, signage, speaking role, signage/logo placement, premium distribution, post-event reports, photos/videos, copies of collateral materials
  • Support the Sponsorships Team in collecting sponsor-related collateral for contract deliverables, pre- and post-event
  • Assist the Sponsorships Team in drafting copy (text) for sponsor-related collateral pieces.
  • Assist the Sponsorships Team in documenting, filing, and archiving sponsor relationships and contracts.
  • Support the Sponsorships Team in tracking event sponsorship revenue

Outreach and Promotions Team

  • Serve as support staff to the Outreach and Promotions Team
  • Assist Outreach and Promotions Team with media and community outreach-related projects including assistance with collection of media partner ads, database management, mail-outs, email blasts, etc.
  • Assist with the coordination of regular updates and communications to media partners/sponsors on behalf of the Outreach and Promotions Teams (email, fax, phone), regularly communicate NCLR and SCG activities with partners, and deliver excellent customer service.
  • Manage existing databases for media partners/sponsors, community partners, media contacts, and provide support to the Outreach and Promotions Team with tasks including but not limited to data entry, mailings, appointments, faxes, etc.
  • Provide support for promotion strategies and programs including assistance in the development of collateral materials, programs, visual elements, online communications, timelines, promotions, distribution plan, inventory, and procedures
  • Support in event media archiving, which includes event video footage, photographs, and transcripts.
  • Support the SCG team in maintaining the NCLR Conference Events web pages, which includes Capital Awards and Annual Conference home pages.
  • Assist the Outreach and Promotions Team in recruitment and management of photography teams for NCLR Capital Awards, NCLR Annual Conference and ALMA Awards.
  • Support Outreach and Promotions Team in coordinating event decorative signage, including quantity, type, and design.

General

  • Cultivate a positive working relationship with vendors and work with Office Manager and Business Affairs Assistant to ensure accurate payments to vendors.
  • Draft and edit correspondence and other communications.
  • Respond to general inquiries about NCLR and SCG events.
  • Provide onsite event support and help teams coordinate onsite job assignments, tasks, and duties.
  • Serve as support staff to SCG, Outreach and Promotions Team, and Sponsorships Team.
  • Answer phones, send faxes and email, and other routine office functions.
  • Work efficiently and effectively; take initiative to work on projects and special activities; and work within tight deadlines in order to fulfill the duties and responsibilities assigned to this position.
  • Maintain a solid understanding of NCLR, its programs and initiatives, operational structure, history, etc.
  • Maintain a solid understanding of the U.S. Hispanic culture, community, consumer, market insights, and market trends.
  • Provide excellent customer service and logistical support on site at events
  • Perform other duties as assigned

Qualifications

  • Excellent customer service skills
  • Strong verbal and written communication, organizational, and management skills
  • Ability to communicate clearly and effectively to the various audiences and constituencies of NCLR, including corporations, government agencies, individuals, and community groups
  • Ability to manage multiple tasks and goals, problem-solve, and prioritize among assignments
  • Experience performing research using the Internet and other resources available
  • High ethical standards, tact, and diplomacy skills
  • Must be a team player, self-motivated, and able to work independently, yet maintain ties to team through communication and coordination
  • Familiarity with the U.S. Hispanic community, Hispanic nonprofit organizations, and the Hispanic consumer/market
  • Ability to work a modified/extended-hour schedule during event planning and event execution
  • High proficiency in Word, EXCEL, and PowerPoint, as well as familiarity with database management programs
  • Promptness, reliability, and sound judgment
  • One to three years of experience working in a related field and B.A. or B.S.
  • Familiarity with HTML a plus
  • Bilingual (English/Spanish) ability a plus
