BACKGROUND:
NCLR – the largest national Hispanic civil rights and advocacy organization in the United States – works to improve opportunities for Hispanic Americans. Through its network of nearly 300 affiliated community-based organizations (CBOs), NCLR reaches millions of Hispanics each year in 41 states, Puerto Rico, and the District of Columbia.
SALARY:$30,000-$34,000; commensurate with experience
GENERAL DUTIES AND RESPONSIBILITIES
- Provide general assistance and support to San Antonio staff
- Establish and maintain effective filing management system for general office needs
- General office organization and maintenance
- Assist staff in the arrangement of staff and Affiliate retreats and off-site meetings including assisting visiting staff and guests with travel, lodging, and group meals
- Greet visitors, ascertain their business, and announce them to the appropriate staff
- Occasionally serve as the point of contact for external relationships with Affiliates, national organizations, researchers, or advocates on specific projects
- Assist in ordering, packing, and shipping supplies for trainings and other special events
- Provide support on activities related to the NCLR Annual Conference
- Answer inquiries on routine matters, referring to appropriate staff
- Take messages for calls sent to general voicemail box
- Make tentative appointments for community members, clearing these with staff before confirming
- Coordinate routine administrative tasks, such as filing, photocopying, recordkeeping, faxing, and arranging messenger services in a systematic way
- Maintain NCLR Texas webpage
- Perform other support duties deemed necessary and appropriate
- Provide program support as feasible and needed
Other Duties as Assigned
- Quarterly scanning of reports
- Database entry and maintenance
- Generate quarterly reimbursement report
- Assist with the preparation of various documents, including drafting letters, proofreading reports, and preparing graphs and charts
- Organize and execute large mail-outs, including newsletters, action alerts, etc
- Maintain mailing lists for several projects, up-to-date and free of errors
- Conduct some research and participate in projects, as needed
- Disseminates information as requested by general public
- Coordinate shipping and postage for individual and mass mailings as requested
- Organize and maintain files for all MOU based relationships and prepare support documents for payments to NHN affiliates
- Process reports for funders and reconcile as necessary
- Research Affiliate inquiry
- Maintain up-to-date Affiliate contact information
QUALIFICATIONS
- 3-5 years office-related experience
- Some college preferred
- Strong organizational and administrative skills required
- Effective communication skills
- Ability to work with minimal supervision
- Working knowledge of San Antonio and the Latino community
- Bilingual strongly preferred
- Ability to manage tasks and relationships specific to multiple components
- Ability to work with standard office equipment
- Basic technology skills related to Microsoft Office and the Internet
- Willingness to travel as needed
